Start with the work that repeats
The best first automation is rarely the most impressive one. It’s the task someone on your team does the same way every day: copying details from one tool to another, sending the same follow-up, building the same report.
A good candidate usually has three things in common:
- It follows clear rules that you could write down.
- It happens often: daily or weekly, not once a quarter.
- Mistakes or delays cost you something, like a lead that waits too long.
Why we use n8n
n8n is a workflow automation tool. You connect apps with visual “nodes”: a trigger starts the workflow (a new form entry, an email, a schedule) and each following node does one step, such as looking up a record, sending a message or writing to a sheet.
Because the workflow is visual, you can see exactly what runs and in what order. Where a step needs custom logic, we add a small Node.js or Python script.
Three workflows that pay off early
- Lead capture: every enquiry from your website, ads or email lands in your CRM straight away, tagged by source.
- Follow-ups: a new lead gets a timely email or WhatsApp message, and your team gets a reminder if nobody has replied.
- Reports: the numbers you check every week arrive in your inbox or chat on schedule.
Map it before you build it
We start by writing down the manual steps exactly as they happen today, including the exceptions. That map becomes the workflow, and it often reveals steps that can simply be dropped.
Keep it maintainable
Automations connect to other tools, and those tools change. We document every workflow, hand over the credentials, and support fixes after launch, including when a connected app updates its API.
Key points
- Automate rule-based tasks that repeat often.
- n8n workflows are visual: a trigger, then one node per step.
- Lead capture, follow-ups and reports are strong first workflows.
- Document workflows so your team can see what runs and when.
